1. Agreement and eligibility
ExtenVox is an application and brand owned and operated by AstSer Integrated Solutions LLC. These Terms of Service (“Terms”) form a binding agreement between AstSer Integrated Solutions LLC (“we,” “us,” or “our”) and the person or organization accessing or using the Services (“Customer,” “you,” or “your”). By creating an account, purchasing a plan, or using the Services, you agree to these Terms and our Privacy Policy.
You must be at least 18 years old and legally able to enter into a contract. If you use the Services for a business or organization, you represent that you have authority to bind that organization. If you do not agree to these Terms, do not use the Services.
2. The Services
ExtenVox provides AI-powered telephone answering and related features that may include call routing, business question answering, lead capture, appointment scheduling, call transfers, recordings, transcription, summaries, notifications, multilingual interactions, telephone numbers, and integrations.
Features depend on your plan, configuration, location, carrier availability, and supported integrations. We may improve, modify, replace, or discontinue features. If a material change significantly reduces a paid Service, we will provide notice when reasonably practicable.
No emergency service
ExtenVox is not an emergency service, emergency dispatcher, medical provider, law firm, or substitute for calling 911 or another local emergency number. You must not configure or promote ExtenVox as an emergency response system. Automated systems can misunderstand callers, lose connectivity, or provide incomplete information.
Urgent-call features (such as urgent-call alerts and transferring urgent calls to your team) only notify or connect your own business and the phone numbers you configure. They do not contact emergency services, and they do not guarantee that anyone on your team will answer.
AI limitations
AI responses, transcripts, classifications, and summaries may contain errors. You are responsible for reviewing important information and maintaining human oversight appropriate to your business. ExtenVox does not guarantee that every call will be answered, transferred, transcribed, or scheduled without error.
3. Accounts and customer responsibilities
You must provide accurate account and billing information, keep credentials confidential, and promptly update changes. You are responsible for all activity under your account and for limiting access to authorized personnel.
You are responsible for your business instructions, greeting, hours, transfer numbers, calendar availability, service descriptions, pricing information, and other configuration. You must test your configuration and keep it current. ExtenVox may rely on the instructions and information you provide or authorize us to obtain from your website.
You are responsible for your relationship with callers and customers, including service commitments, quotes, appointments, warranties, required licenses, and compliance with consumer protection and industry-specific laws.
4. Telephone numbers, forwarding, and call transfers
You may use an existing business number through call forwarding or, when included in your plan, request an ExtenVox-provided local or toll-free number. Number availability is not guaranteed. You must not claim ownership of a number assigned for use only while an account is active unless applicable law or a separate written agreement provides portability rights.
You are responsible for carrier settings, forwarding charges imposed by your carrier, the accuracy of transfer destinations, and obtaining permission to route calls to team members or third parties. Service may be affected by carrier outages, network conditions, device settings, or third-party blocking.
5. Call recording, consent, and AI disclosure
Recording, transcription, automated calling, messaging, telemarketing, and AI disclosure laws vary by jurisdiction. You are solely responsible for determining which laws apply to your calls and for providing notices and obtaining consent required from callers, employees, customers, and transfer recipients. Additional details appear in our Call Recording Disclosure.
You must not remove a required recording or AI notice, instruct ExtenVox to misrepresent that it is human, or use the Services deceptively. You must honor applicable do-not-call, opt-out, and communication preferences.
6. Messages, calendars, and third-party integrations
If you enable SMS, email, calendar, website training, or another integration, you authorize ExtenVox to exchange information with that service as necessary to provide the requested functionality. Third-party services are governed by their own terms and privacy policies. ExtenVox is not responsible for third-party availability, security, changes, or errors.
You must have authority to connect each account, calendar, telephone number, website, mailbox, or destination. You are responsible for reviewing booked appointments, notifications, and transfers and for maintaining a reasonable backup method for time-sensitive communications.
SMS Terms of Use
By providing a mobile telephone number and opting in to receive SMS messages from ExtenVox, you consent to receive service-related text messages at that number. Messages may include account, onboarding, call, lead, appointment, support, security, or other transactional notifications associated with the Services. Consent to receive SMS messages is not a condition of purchasing any product or service.
Message frequency varies based on your account activity and enabled features. Message and data rates may apply. You may opt out at any time by replying STOP to a message. For assistance, reply HELP or contact contact@extenvox.com. After opting out, you may receive one final message confirming your request. Carriers are not liable for delayed or undelivered messages.
You represent that you are the subscriber or authorized user of the mobile number you provide and will notify us if the number changes. We do not sell or share SMS opt-in data, mobile telephone numbers, or SMS consent information with third parties or affiliates for marketing or promotional purposes. 7. Acceptable use
You may use the Services only for lawful business purposes. This section is supplemented by our Acceptable Use Policy. You may not use or allow the Services to:
- Violate law, regulation, court order, or another person’s rights.
- Commit fraud, impersonate a person, mislead callers about material facts, or facilitate deceptive practices.
- Harass, threaten, exploit, discriminate against, or harm another person.
- Send unlawful marketing, spam, robocalls, or messages without required consent.
- Collect passwords, full payment card details, government identifiers, health records, or similarly sensitive data unless expressly supported under a written agreement.
- Interfere with service operation, probe security, introduce malware, abuse fair-use limits, or access accounts or information without authorization.
- Resell, sublicense, reverse engineer, scrape, or copy the Services except as permitted in writing or by law.
- Use the Services as a 911, life-safety, medical, legal, or emergency response system.
We may investigate suspected misuse and suspend or restrict access when reasonably necessary to protect the Services, callers, customers, or others.
8. Plans, free trial, fair use, and billing
Plans and prices
ExtenVox offers the Solo, Professional and Business plans. Each plan can be paid monthly or annually; annual billing costs the equivalent of ten monthly payments (“2 months free”). Current prices are shown on our website and at checkout. Prices are in U.S. dollars and exclude applicable taxes, which are added to your invoice where required.
Unlimited calls and fair use
Every plan includes unlimited calls: we never charge per call or per minute, and we never charge overage fees. Unlimited calls are subject to our Fair Use Policy, which describes the normal monthly AI minutes for each plan, the alerts we send, and prohibited uses such as reselling, call-center operations and machine-generated traffic.
Automatic renewal and online cancellation
Paid subscriptions are billed in advance and renew automatically for successive periods of the same length (monthly or annual) at the then-current price until you cancel. Before you subscribe, we show the price, the billing interval and these renewal terms, and we send a confirmation email that includes them. You authorize us and our payment processor, Stripe, to charge your payment method at each renewal. We will notify you in advance of any price change for your plan, and you may cancel before it takes effect.
You can cancel online at any time from the Plan & Usage page of your dashboard (“Manage plan & payment”), without calling us. Cancellation stops future renewals and takes effect at the end of the current paid period; you keep access until then. You may also change plans or switch between monthly and annual billing online.
14-day free trial
New businesses may start one free trial per business. The trial lasts 14 days and includes every Professional feature for up to 25 answered calls or 100 AI minutes, whichever comes first. No payment method is required and nothing is charged unless you choose a plan. If you add a payment method during the trial, your first charge happens when the trial ends. If the trial ends without a plan, your AI Receptionist is paused, calls to your ExtenVox number are forwarded to your verified mobile number, and we hold the number for 30 days before it may be released. We may refuse or end a trial that we reasonably believe duplicates a previous trial or abuses the Services.
Taxes, failed payments, and billing errors
You are responsible for applicable sales, use and similar taxes. If a payment fails, we will notify you and retry; we may suspend the Services for overdue amounts after notice. Please review invoices promptly and tell us about suspected billing errors.
9. Cancellation, refunds, and the 30-day job guarantee
You may cancel at any time as described above. Our 30-day job guarantee applies to new customers: if ExtenVox doesn’t capture at least one job in your first 30 days as a paying customer, we refund your first payment in full, as described in the 30-Day Job Guarantee. Other refund requests are governed by our Refunds and 30-Day Job Guarantee policy.
10. Ownership and licenses
ExtenVox is an application and brand owned and operated by AstSer Integrated Solutions LLC. AstSer Integrated Solutions LLC and its licensors own the Services, software, designs, trademarks, documentation, and related intellectual property. Subject to these Terms and payment of applicable fees, we grant you a limited, non-exclusive, non-transferable, revocable right to use the Services for your internal business operations during your subscription.
You retain ownership of business instructions, content, and data you provide (“Customer Content”). You grant ExtenVox and its service providers a limited license to host, process, transmit, reproduce, and use Customer Content as necessary to provide, secure, support, and improve the Services and comply with law. You represent that you have the rights and permissions needed for Customer Content and its use with the Services.
If you provide feedback, you authorize us to use it without restriction or compensation, provided we do not publicly identify you without permission.
11. Privacy and confidentiality
Our handling of personal information is described in the Privacy Policy. Each party will use reasonable care to protect non-public information received from the other and will use it only to perform under these Terms, except when disclosure is authorized or required by law.
SMS and opt-in data: We do not sell or share SMS opt-in data, mobile telephone numbers, or SMS consent information with third parties or affiliates for marketing or promotional purposes. Service providers may process this information solely as necessary to deliver and support the messaging services you request and may not use it for their own marketing or promotional purposes.
12. Availability, suspension, and termination
We work to provide reliable Services but do not guarantee uninterrupted availability. Maintenance, telecommunications failures, carrier actions, integrations, force majeure events, security threats, and other conditions may interrupt service.
You may stop using the Services at any time. We may suspend or terminate access for a material breach, unlawful use, security risk, nonpayment, or conduct that threatens the Services or others. When practicable, we will provide notice and an opportunity to cure. Upon termination, your right to use the Services ends and assigned numbers or integrations may be disconnected.
13. Disclaimers
To the maximum extent permitted by law, the Services are provided “as is” and “as available.” ExtenVox disclaims implied warranties of merchantability, fitness for a particular purpose, non-infringement, and any warranty arising from course of dealing or usage of trade. We do not warrant that the Services will be uninterrupted, error-free, or suitable for every regulated or high-risk use.
14. Limitation of liability
To the maximum extent permitted by law, ExtenVox will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, business, data, goodwill, leads, appointments, or opportunities, even if advised that such damages are possible.
To the maximum extent permitted by law, ExtenVox’s total aggregate liability arising from or relating to the Services or these Terms will not exceed the amount you paid to ExtenVox for the Services during the 12 months before the event giving rise to the claim. Some jurisdictions do not allow certain exclusions or limitations, so portions of this section may not apply to you.
15. Indemnification
To the extent permitted by law, you will defend, indemnify, and hold harmless ExtenVox and its personnel from third-party claims, damages, losses, and reasonable costs arising from your Customer Content, business instructions, violation of these Terms, unlawful call recording or communications, or infringement of another person’s rights.
16. General terms
Neither party is liable for delay caused by events beyond reasonable control. You may not assign these Terms without our written consent; we may assign them in connection with a reorganization, financing, merger, acquisition, or sale of the business. If a provision is unenforceable, it will be limited to the minimum extent necessary and the remaining provisions continue in effect. Failure to enforce a provision is not a waiver.
These Terms, the Privacy Policy, the Fair Use Policy, the 30-Day Job Guarantee, the Refunds and 30-Day Job Guarantee policy, the Acceptable Use Policy, your order or plan selection, and any written addendum form the entire agreement concerning the Services; the Fair Use Policy and the 30-Day Job Guarantee are incorporated into these Terms by reference. If they conflict, a signed addendum controls, followed by an order, these Terms, and incorporated policies.
Before filing a dispute, each party agrees to make a good-faith effort to resolve it informally. These Terms are governed by applicable law, without overriding any non-waivable consumer protections. Disputes may be brought before a court with lawful jurisdiction unless the parties agree to another process in writing.
17. Changes to these Terms
We may update these Terms to reflect changes to the Services, business practices, or law. We will post the updated Terms and revise the “Last updated” date. Material changes will apply prospectively after reasonable notice where required. Continuing to use the Services after the effective date means you accept the updated Terms.
